How AutoCruitment Delivered 2,035 Randomizations in Less Than 3 Months
AutoCruitment was engaged by a large pharmaceutical company to support a 6,500-patient COVID-19 vaccine study.
By January 2026, the sponsor was facing an unexpected enrollment challenge: recruitment performance had declined across sites and their CRO, threatening study timelines, and pushing completion dangerously close to peak vaccine season. With multiple large pharmaceutical companies competing for the same patient population, the sponsor needed a proven recruitment partner that could launch immediately and operate at scale across a large network of sites.
Within one week of engagement, AutoCruitment deployed recruitment operations across 57 sites and 11 SMO networks, rapidly restoring enrollment momentum and helping the study stay on track.
Over the next 3 months, AutoCruitment delivered 2,035 randomizations, contributing approximately 32% of total study enrollment.
As patient recruitment accelerated, site execution became the primary challenge. To address growing scheduling backlogs and site burden, AutoCruitment expanded beyond traditional recruitment and implemented operational support services designed to improve patient progression and maximize enrollment performance.
THE CHALLENGE
Sites Became the Bottleneck
- Sites were running out of patients
- Patient backlogs exceeded 17,000
- Study risked extending beyond peak vaccine season
OUR SOLUTION
We Reduced Site Burden

Key Operational Enhancements
-
Faster Patient Qualification: We implemented centralized phone screening to improve referral quality and reduce site burden.
Result: Reduced average time to first patient contact from ~3.6 days to less than 1 day for supported sites, improving patient conversion and engagement.
-
Faster Scheduling & Site Follow-Up: As thousands of patients awaited scheduling at the site, AutoCruitment implemented direct scheduling workflows and warm transfers to reduce delays and improve patient conversion.
Result: Increased scheduling speed by more than 1 day for ~30% of sites.
-
Reducing Technology Burden: We implemented a secure CTMS workflow to reduce site burden and improve sponsor visibility.
Result: Faster performance monitoring, improved reporting accuracy, and earlier identification of underperforming sites.
-
Scaled Patient Engagement: Our automated patient engagement workflows maintained interest and reduced patient drop-off.
Result: Executed 78,500+ keep-warm calls and texts to maintain engagement and reduce patient drop-off.
-
SMO Outreach & Operational Support: AutoCruitment partnered with 11 SMO networks and 57 sites, using executivelevel engagement, customized reporting, and a tiered site scoring model to maximize enrollment performance.
Result: Improved site responsiveness, accelerated patient follow-up, and increased weekly randomizations by 73%.

"One of the most positive aspects of collaborating on this study has been the ability to use your phone-screening and scheduling services. It has enabled us to balance our bandwidth across other sites and research studies in our network. We look forward to leveraging your services for mutual benefit in this and in future studies."
